Jolix ("Jolix", "we", "us", or "our") provides an online platform that helps freelancers find clients, manage projects, send proposals and invoices, track time, and grow their business.

This Privacy Policy explains how we collect, use, store, and share your information when you:

  • Use our website at jolix.io and any subdomains (the "Site")
  • Use our web or mobile applications (the "App")
  • Interact with our support, emails, and social media
  • Participate in our marketplace or lead engine

By using Jolix, you agree to this Privacy Policy. If you do not agree, please do not use Jolix.

1. Who we are

Jolix is operated by:

We act as a data controller for personal data we collect and process about you when you use Jolix.

In some cases (for example, when you store your clients' information inside Jolix), you may be the data controller and Jolix acts as a data processor on your behalf.


2. Information we collect

We collect information in three main ways:

  • Information you provide to us directly
  • Information collected automatically
  • Information from third-party services

2.1. Information you provide to us

When you create or use a Jolix account, you may provide:

  • Account information Name, email address, password or login method, profile photo or avatar (optional), time zone, country, language settings.

  • Freelancer / business profile Business name, logo, brand colors, services offered, rates, niche, bio, portfolio links, social handles (e.g. X, LinkedIn, website).

  • Client & project data Client names, emails, business details, project titles, timelines, tasks, files, messages, notes, and internal comments.

  • Financial & billing data Billing name, address, country, payment-related info handled by third-party processors (e.g. Stripe, PayPal), invoices, transaction history, subscription plan.

We do not store your full credit card number. Payment details are processed and stored by our payment processors.

  • Content you generate Proposals, contracts, invoices, forms, portfolio content, case studies, social posts you draft inside Jolix, and AI-assisted content (prompts and outputs).

  • Support communications Messages you send to our support team, feedback, bug reports, and feature requests.

2.2. Information we collect automatically

When you use Jolix, we may automatically collect:

  • Usage data Pages and screens you visit; features you use (e.g. leads, proposals, scheduling); buttons you click; session duration and timestamps.

  • Device and technical data IP address, browser type, device type, operating system, referral URLs, basic geographic region (city/country level), log files, and error reports.

We may use cookies, local storage, and similar technologies to remember your session, keep you logged in, and understand how Jolix is used.

You can manage cookies in your browser settings, but some features may not work properly if you disable them.

2.3. Information from third-party services

If you choose to connect Jolix to a third-party account, we receive data only as permitted by the permissions you grant at that provider. Jolix does not access your clients’ Google, Microsoft, or other accounts unless those individuals separately authenticate with us (for example, when they use a feature that requires it). Below describes how we use data from major integrations in the Service.

Google (Sign-in, Calendar, Gmail, and related)

If you connect Google or use Sign in with Google, we may receive:

  • Account identifiers – Google user ID, email address, and basic profile information (such as name or profile image) to identify your account and display it in Jolix.
  • OAuth tokens – Access and refresh tokens stored in encrypted form so we can call Google APIs on your behalf until you disconnect or revoke access.

If you connect Google Calendar, we use the Calendar API to:

  • Read calendar list and events (including busy/free information) so Jolix can block availability when clients book time and avoid double-booking against events already on your calendar.
  • Create, update, and delete calendar events that correspond to your Jolix bookings, including optional Google Meet conference details when you select Meet.
  • Store event IDs and calendar IDs returned by Google so we can keep bookings and your calendar in sync.

If you connect Gmail (or use Jolix to send mail through Gmail), we use the Gmail API only to send outbound email that you initiate from Jolix (for example, messages to clients, booking-related notifications, invoices, or reminders), using your connected mailbox as the sender where you configure that. We do not use Gmail access to read, sync, index, or store your inbox or email threads for browsing or CRM-style mail history inside Jolix.

We do not use Google user data obtained through these APIs to serve third-party ads. Our use of Google API data is further described in Section 12 (Google API Services – Limited Use).

Microsoft (Outlook, calendar, and Teams)

If you connect Microsoft (including Outlook mail and/or calendar and Microsoft Teams for meetings), we may receive account identifiers, OAuth tokens, and data needed to:

  • Read calendar information to support scheduling and availability.
  • Create or update calendar events or online meetings (for example, Teams meetings) tied to your Jolix bookings when you enable those features.
  • Send email through Microsoft Graph when you choose Outlook as your connected mailbox, for messages you send from Jolix.

Zoom

If you connect Zoom, we store OAuth tokens and use Zoom’s APIs to create or manage meetings associated with your bookings when you select Zoom as the meeting location, and to display join links your clients need.

Cal.com

If you connect Cal.com, we store OAuth tokens and use Cal.com’s API to link your scheduling, sync availability or booking data you configure, and power features that depend on that integration.

QuickBooks

If you connect QuickBooks, we use Intuit’s APIs with the permissions you grant to sync accounting-related data you configure (for example, customers, invoices, or payments), to reduce manual entry. The exact data categories depend on your settings.

Google Drive (when enabled)

If you connect Google Drive, we use the permissions you grant to access or store files you explicitly link or upload through Jolix (for example, attachments or shared documents), as needed for the feature.

Payment providers (e.g. Stripe, PayPal)

We receive payment confirmations, subscription status, limited payment method metadata (we do not store full card numbers), and related billing identifiers from our payment processors to operate subscriptions and, where applicable, connected payouts (such as Stripe Connect for your business).

Social and marketing tools

Where offered, connections to platforms such as LinkedIn may receive authorization tokens and basic profile information so Jolix can perform actions you request (for example, posting on your behalf). Other networks may be supported through links or manual flows that do not store broad account access.

General

We request the minimum scopes needed for each feature. You can disconnect integrations in Jolix settings (and revoke access in your Google or Microsoft account security settings). Disconnecting stops new API access; we delete or invalidate stored tokens according to Section 8 (Data retention) and your requests.

2.4. OAuth tokens, API credentials, and integration metadata

To maintain integrations, we securely store:

  • OAuth access and refresh tokens (and similar credentials) for providers you connect.
  • Provider account identifiers (for example, Google user ID, Microsoft tenant/user IDs, Zoom user ID) and display names or email addresses associated with the connection.
  • Technical metadata such as last sync time, error states, and resource IDs (for example, Google Calendar event IDs stored on a booking record) needed to operate sync.

We use industry-standard measures (including encryption in transit and access controls) to protect these credentials. Access is limited to what is necessary to provide the Service.


3. How we use your information

We use your information to provide, improve, and secure Jolix. This includes:

3.1. Provide and maintain Jolix

  • Create and manage your account.

  • Let you log in and stay logged in securely.

  • Display your clients, projects, documents, forms, and content inside the App.

  • Enable features such as:

    • Leads, proposals, contracts, invoices
    • Time tracking and scheduling
    • Forms and tax tools
    • Business analytics and growth tools
    • Marketplace and portfolio features
  • Provide social planning and scheduling (e.g. LinkedIn auto-post, X one-click posting).

  • Operate connected integrations you enable—such as syncing Jolix bookings to Google Calendar or Microsoft calendar, adding Google Meet or Teams or Zoom links, sending mail through Gmail or Outlook, or syncing data with Cal.com or QuickBooks—using only the data and permissions described in Section 2.3.

3.2. Improve and personalize the experience

  • Understand which features are used and where users get stuck.
  • Fix bugs and optimize performance.
  • Provide personalized suggestions, templates, and default settings.
  • Power AI features (e.g. social post ideas, proposal suggestions, growth tips) using the content you choose to send to those features.

3.3. Communicate with you

  • Send transactional messages like account verification, password reset, billing updates, and security notices.
  • Notify you about feature updates and changes to our terms or policies.
  • With your consent where required, send onboarding tips and occasional product or marketing emails (you can unsubscribe at any time).

3.4. Ensure security and prevent abuse

  • Detect and prevent fraud, spam, and misuse of Jolix.
  • Monitor for suspicious login patterns or unusual account activity.
  • Enforce our Terms of Service.

3.5. Comply with legal obligations

  • Maintain appropriate business and financial records.
  • Respond to lawful requests from authorities where required.
  • Comply with applicable tax, accounting, and regulatory rules.

4. AI features and your data

Jolix uses AI to help you generate social media posts, draft proposals and emails, and provide suggestions and templates.

When you use AI features:

  • Some of your input (prompts, context) and outputs may be sent to our AI providers to generate responses.
  • We limit what is sent to what's needed for the feature to work.
  • We do not sell your data to third-party AI companies.

Where possible, we use providers and configurations that do not train their models on your identifiable personal data. See our AI documentation for more details as these features evolve.

You can choose which content you send through AI features. You are responsible for ensuring you have the right to process your clients' data in this way.


5. Legal bases for processing (EEA/UK users)

If you are in the European Economic Area or the UK, we process your personal data under one or more of the following legal bases:

  • Contract – to provide Jolix under our Terms of Service.
  • Legitimate interests – to improve, secure, and grow the service in a way that does not override your rights.
  • Consent – for optional activities like certain cookies or marketing emails.
  • Legal obligation – to comply with applicable laws.

6. How we share your information

We do not sell your personal information. We may share your data with:

6.1. Service providers

Trusted third-party vendors that help us run Jolix, such as:

  • Cloud hosting and database providers (for example, infrastructure that hosts the App and stores your account data).
  • Payment processors (e.g. Stripe, PayPal) for subscriptions and, where you enable them, merchant/payout features.
  • Email delivery (transactional email from Jolix to you) and support tools.
  • Analytics and error monitoring tools.
  • AI/ML infrastructure providers when you use AI features.

When you connect Google, Microsoft, Zoom, Cal.com, QuickBooks, or other integrations, those providers also process data as independent processors under your agreement with them; Jolix acts on your instructions to call their APIs. See Section 2.3 for what we access.

These providers only process your data on our instructions and under appropriate data protection agreements, except where you have a direct relationship with the provider (for example, Google or Microsoft account terms apply to your use of their APIs through Jolix).

6.2. Clients and collaborators

Depending on how you use Jolix:

  • Your clients may see their own project details, invoices, proposals, contracts, and messages in the client portal.
  • You may share documents, forms, and portfolio pages publicly or via unique links.
  • In the future, your marketplace profile may be visible to potential clients if you opt in.

You control who you invite and what you share through Jolix.

6.3. Legal reasons

We may disclose information if we believe it is reasonably necessary to:

  • Comply with any applicable law, regulation, or legal process.
  • Respond to lawful requests and legal actions.
  • Protect the rights, property, or safety of Jolix, our users, or the public.

6.4. Business transfers

If Jolix is involved in a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred as part of that transaction, subject to continued protection consistent with this policy.


7. International data transfers

We may process and store your information in countries other than where you live, including the United States and other locations where our providers operate.

Where required by law, we use appropriate safeguards (such as standard contractual clauses) to protect personal data transferred from the EEA/UK or other regions.


8. Data retention

We keep your information for as long as:

  • Your account is active, or
  • We need it to provide Jolix to you, or
  • It is reasonably necessary for our legitimate business purposes, or
  • We are required by law (for example, basic financial records).

When you close your account, we will:

  • Mark the account for deletion.
  • Retain some limited data as required for legal, tax, or security reasons.
  • Attempt to delete or anonymize other data within a reasonable period.

9. Your rights

Depending on your location, you may have some or all of the following rights:

  • Access – request a copy of the personal data we hold about you.
  • Correction – ask us to correct inaccurate or incomplete data.
  • Deletion – request deletion of some or all of your data (subject to legal obligations).
  • Restriction – ask us to limit how we process certain data.
  • Portability – request a machine-readable copy of certain data.
  • Objection – object to certain types of processing (e.g. direct marketing).
  • Withdrawal of consent – where processing is based on consent, withdraw that consent at any time.

If you are in the EEA/UK, you also have the right to lodge a complaint with your local data protection authority.


10. Children's privacy

Jolix is not intended for children under 16, and we do not knowingly collect personal information from children under 16.

If you believe a child has provided us with personal data, please contact us at support@jolix.io and we will take appropriate steps to remove that information.


11. Security

We use reasonable technical and organizational measures to protect your information, including:

  • Encrypted connections (HTTPS) for data in transit.
  • Access controls and authentication for internal tools.
  • Regular monitoring for unusual activity.

No online service can guarantee 100% security, but we work to keep Jolix as secure as reasonably possible.

You are responsible for keeping your login credentials safe and notifying us if you suspect any unauthorized access to your account.


12. Google API Services User Data and Limited Use

Jolix’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

In particular, subject to applicable law and the exceptions below:

  • We use Google user data obtained through restricted scopes only to provide or improve user-facing features of Jolix that are clearly described in this Privacy Policy and in the product (for example, calendar sync, Meet links, and sending email you choose to send).
  • We do not sell Google user data.
  • We do not use Google user data for advertising (including personalized, re-targeting, or interest-based advertising) unrelated to the Service.
  • We do not use Google user data to train generalized AI or ML models unrelated to operating the Service for you.
  • Human access to Google user data is limited: authorized personnel may access such data only as needed to provide or improve the Service, comply with law, resolve security incidents, or with your explicit consent.

If we change how we use Google user data in a way that materially expands sharing or use beyond what is described here, we will update this policy and, where appropriate, obtain additional consent or provide notice.


13. Third-party links

Jolix may contain links to websites or services that are not operated by us (for example, client sites, external content, or social platforms).

We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal data.


14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

When we make changes, we will:

  • Update the "Last updated" date at the top.
  • In some cases, notify you by email or in-app notice if the changes are significant.

Your continued use of Jolix after any changes means you accept the updated policy.
